Surface Scheduler

Surface Native Scheduler is a new feature inside Surface's Lead Operations suite. It's a full meeting scheduler built directly into Surface, so leads can book without leaving your form flow and your team can manage scheduling, routing, and post-booking automation from the same platform they already use for everything else.

Built for marketing ops and growth teams that are tired of stitching together Calendly or Chili Piper alongside their forms, CRM, and routing logic.

Why we built this

Most B2B teams run their inbound pipeline across three or four disconnected tools. The form lives in one place. The scheduler lives in another. The routing logic lives somewhere else. And the post-booking follow-up is either manual or spread across Zapier and Slack notifications that nobody maintains.

The problem isn't that these tools don't work individually. The problem is what happens between them. A lead fills out your form, gets qualified, and then you redirect them to a Calendly link. That redirect is where you lose people. They land on a different domain, the branding doesn't match, the experience feels disconnected, and a meaningful percentage of qualified leads never actually book.

Even when they do book, the data is fragmented. The form submission lives in one system. The booking lives in another. Connecting the two requires custom integrations or middleware. Reporting on the full journey from form fill to booked meeting means pulling data from multiple sources and stitching it together manually.

How it works

Setting up a scheduler takes a few minutes. You connect your Google Calendar, invite your team members, and create your first scheduler.

The scheduling settings give you the kind of control that matters for inbound operations:

The questions layer lets you control what information you collect at booking time. Work email is required by default. You can add first name, last name, and toggle options like blocking personal emails, enabling CAPTCHA to prevent automated submissions, allowing guests, pre-filling fields for returning visitors, and showing GDPR consent before booking.

Branding

The booking page is fully customizable. You set the theme colors, primary color, font, border radius, shadow, and preview the page live as you make changes. The result is a booking experience that looks like your brand, not like a third-party tool.

This is the part that matters for conversion. When a lead fills out your Surface form, gets qualified, and then sees a booking page that matches the same look and feel, there's no friction. No redirect to a different domain. No jarring visual disconnect. The entire flow feels like one experience because it is one experience.

Where the real differentiation is: routing

Most schedulers route by availability. Surface Native Scheduler routes by anything.

Because the scheduler is embedded directly inside Surface's form and logic system, you can build routing flows that go far beyond simple round-robin. Route leads based on territory, so APAC leads go to your APAC rep and NA leads go to your NA team. Route based on form answers, so leads who selected "Enterprise" see your enterprise AE's calendar and leads who selected "Startup" see someone else. Route based on deal size, product line, industry, or any other dimension you're capturing in the form.

The routing flows are built visually in Surface's Logic Builder. You can also describe routing rules in plain English and let AI build the flow for you. Something like "route leads with over $100K ad spend to our senior AE, everyone else goes round-robin" and the routing logic creates itself.

This is what prospects have been asking for most. The scheduling part is table stakes. The ability to route leads to the right person based on who they are and what they said, without engineering work, is what replaces the entire Calendly-plus-routing-tool stack.

Post-booking automation

When a meeting is booked, rescheduled, or cancelled, Surface can trigger workflows automatically. This is the same workflow builder that powers Surface forms, now wired into the scheduler out of the box.

Each trigger can branch into whatever actions your workflow needs. The workflow builder is visual, so you can see the full post-booking logic at a glance and add or modify actions without touching code.

The cancellation trigger is particularly valuable for teams that lose a significant percentage of booked meetings to no-shows and last-minute cancellations. Instead of those leads disappearing into the void, the cancellation workflow catches them and routes them into a re-engagement flow automatically.

Round-robin distribution reports

For teams using round-robin scheduling, Surface ships with a built-in distribution report. It shows per-rep meeting counts, queue position, and the reasoning behind each assignment. If a rep feels like they're not getting their fair share of meetings, or if a manager wants to audit the distribution, the data is right there.

This is a feature that teams don't know they need until they've been running round-robin for a month and someone asks "why is Rep A getting twice as many meetings as Rep B?" Without a distribution report, you're digging through calendar data and building spreadsheets. With Surface, you open the report.

How it connects to everything else

Surface Native Scheduler sits inside the Lead Operations suite alongside AI Form Routing, AI Lead Scoring, and the Logic Builder. The integration isn't bolted on. It's native.
